Auto Task Generate update

The new Auto Task Generation process uses the following Task Templates. These templates are shipped with “X” (Cancelled) as the status. Any of these tasks you want to use should be changed to “O” Open on the Task Template screen, and edits made only to the “assignments”, “priority” and “descriptions” Please do not change the ‘tags’ you see in the record (things in <> are ‘tags’).

NOTE: You may also create 01 – 09 options as well – for example, if you want both HR and Benefits to notified of a REHIRE, you can assign the REHIRE to your benefits group, then build a REHIRE01 that will handle creating a task for HR. This is advisable where you want two independent streams doing different actions – you would not want the HR group closing their task to affect the Benefits group’s task. Note that if you use sequential numbers that we will not ‘skip’ a number, so in order to find REHIRE02, there must be REHIRE and REHIRE01 – even if both of those are Cancelled, they must exist. Once we find a missing number, we stop looking.

Here are the categories for Auto-Task generation:

  • ADDRCHG – Any Change to the main address.
  • BDATECHG – Change to BirthDate
  • BENGRPCHG – Change to Benefit Group
  • GEOCODECHG – Change to GeoCode data
  • HIREDATECHG – Change to Last Hire or Original Hire date
  • LEAVE – Employee moved to Leave status
  • NAMCHG – Employee Name Change
  • PAYMETHCHG – Employee Pay Method changed
  • REACT – Employee Reactivated
  • REHIRE – Employee Rehire
  • SDISTCHG – School District Changed
  • SSNCHG – Employee SSN Changed
  • STATDATECHG – The status date was changed – this one usually will require a ‘review’ to see what and why
  • TYPECHG – Employee Type was Changed

You can find these codes in CRM > Tasks > Task Entry Template

All templates are shipped as ‘cancelled’ and priority 5 (at most sites this is a 4 hour turn before escalation.)
